Take a look at this check list for Tour Managers to consider when touring in Queensland

Before you go

  • Double check that your phone/internet carrier operates in all places you plan to visit. Often it's a good idea to have a Telstra phone/internet dongle with the tour party just in case as they have the best coverage in regional Queensland.
  • Prepare a cash float to carry with you in case you can't access eftpos or atms while on the road.

On the road

  • Check all hire vehicles for damage on collection and return and ensure vehicle condition reports are detailed and signed.
  • Pre-plan fuel stops on travel legs and inform all drivers of the planned stops enroute.
  • Consider if you need to carry additional petrol, water and simple food options to snack on - some stretches can be very long in regional Australia and fuel stops may not be plentiful.
  • Pre-plan food purchases and make sure you have some back up options as some stores are not open late in regional areas.
  • Work within the itinerary and let your tour producer know prior to any changes being made to touring arrangements or accommodation/travel bookings.
  • Communicate any on-the-road or anticipated problems with your tour producer.
  • Stop and rest or switch drivers if you feel fatigued. Don't drive tired.
  • Keep a record (including receipts) of all expenses on the road including fuel card, CabCharge vouchers, accommodation and petty cash.
  • Act as the primary contact for media contacts and coordinate/ schedule publicity calls in conjunction with Local Presenters.
  • If flying, Tour Manager is responsible for managing any excess baggage requirements at the airport. As well as coordinating all touring party members to successfully check in at the airport.

Before you arrive in town

  • Phone accommodation providers a minimum of 24 prior to arrival to check bookings and confirm time of arrival.
  • Liaise with local presenters well in advance of arriving with the touring party regarding: bump in time and access to venue/ venue keys where applicable; box office and doors opening times; seating arrangements; workshops and pre and post-show events.
  • Ensure collection of venue keys is arranged well in advance with local presenters for weekend performances.

When you arrive in town

  • Meet and greet presenters/venue staff and be the main point of contact for presenters/venue management and touring party while in the venue (except for technical liaison in managed venues).
  • Complete one Tour Manager's report per venue (including conducting a head-count to record attendance numbers for all shows). Tour Manager's reports are preferably dispatched to the tour producer daily, dependent on internet availability.
  • Facilitate audience surveys as required.
  • Promote future projects and collect audience contact info so you can continue to communicate with them.
  • Assist with social media on the road.
  • Take photos of the performances and venues in each town as documentation for grant acquittals etc.
